  • We are excited to announce that Pacific Timesheet now has an Asset Tracking module. This new module is extremely flexible and allows you to track the usage of everything from materials and equipment to even expenses.   • New Absence Points Policy Rules:

  • Support For Cloning Custom Reports:
  • You can now clone custom reports by clicking the New report link that now appears to the right of the custom report. (Build 522)
  • Fixes:
  • Improved Session Expiration Handling:
  • When the browser is idle and approaching the time when the login session will expire, a message will be shown allowing you to continue working. If not responded to (for instance you are away from your desk) the application will redirect to the login page. This is more secure, as well as preventing entry of data into pages after the session is expired. (Build 517)
  • HTML Editor Now Works With Google Chrome Browser:
  • The HTML editor used for editing for announcements (on the Home tab), custom timesheet submit messages, etc. now works with the Google Chrome web browser. (Build 502)

New in Pacific Timesheet 7.02 (Feb 6, 2012)

  • New Features and Enhancements:
  • Ability For Approvers To Submit Leave Requests For Their Approvees - If you can approve leave requests, you can now optionally create leave requests for your approvees. A new leave request permission, 'Can create for approvees', can now be set for permission levels on the System > Security page. (Build 467)
  • New Timesheet Search Option: Employee Type - There is a new advanced search option on Timesheets and Approvals tabs that allows you to limit results to particular employee types. You can also specify which employee types are exported when configuring scheduled timesheet exports on the System > Data Integration page. (Build 480)
  • Fixes:
  • Exporting Overlapping Timesheet Periods Now Ensures No Duplicate Time Entries Exported - If you change an employee's timesheet period (e.g. from semimonthly to biweekly) you can have a situation where the time periods overlap some number of days. This could result in duplicate time entries being exported. This is fixed in this release. (Build 480)
  • Managers Can No Longer Edit Crew Timesheet Field Layout - Only users with system administration permissions (e.g. have access to the System tab) can now edit the layout of crew timesheet fields in the Crew Timesheet > Options dialog. (Build 480)

New in Pacific Timesheet 7.01 (Feb 6, 2012)

  • Encryption Security (TLS/SSL) Now Supported For Email Notices - The outgoing email server settings now support TLS/SSL connection encryption. This is becoming increasingly common, and is required by some services, such as Google mail. (Build 462)
  • Encryption Security (FTPS/FTPES) Now Supported For FTP Import/Export - When configuring FTP exports and imports you can now enable connection security if your FTP server requires it. Both implicit SSL (FTPS) and explicit SSL (FTPES) are supported. (Build 462)

New in Pacific Timesheet 7.00 (Apr 20, 2011)

  • New features and enhancements:
  • New Crew Timesheet Feature 

This release supports bulk time entry for crews or groups of employees. This feature is enabled from the System > Templates > Options page. The online help topic will provide further details. (Build 431)
  • Timesheet PDF Report Now Shows Submit, Approval Timestamps 

The timesheet PDF report that you get when you click the print icon on the timesheet will now show the date and time of the timesheet submission and approval. In addition, the timesheet notes field, previously in the upper-right corner, has been moved below the list of time entries, providing more room for longer notes. (Build 423)
  • Popup Time Entry For Time Custom Fields 

Time custom fields now show a popup time entry menu for quickly selecting time. (Build 442)
  • Cloning Of Permission Levels Now Supported 

You can now clone a permission level (System > Security page), which can be especially helpful when creating a new permission level that is only slightly modified from an existing one. (Build 449)
  • Fixes:
  • Event List On Home Tab Looks Ahead 12 Months Now 

Previously, the event list on the Home tab would only show upcoming events up to 11 months out. This has been changed to show events for 12 months. (Build 423)
  • Duplicate Punch When Double-Clicking Punch In Link On Home Tab 

Double-clicking the Punch In link on the Home tab in prior versions could result in duplicate punch rows on the timesheet. This has been fixed. Note that the Punch In button on the My Timesheet page always checked for double clicking and never had this issue. (Build 430)
  • Duplicate Approver Name In Request Submitted Notice 

This issue affected systems with the Request Submitted notice enabled and more than one approval level enabled. Request Submitted notices could have the wrong approver name in the email. This is fixed in this release. (Build 431)
  • Deleting Date/Time Custom Field Value 

Previous versions would not allow you to clear out a date/time custom field value once saved. You could change the value, but not make it blank. This is fixed in this release. (Build 431)
  • Calendar Popup Issue With Custom Date-Time Fields 

Fixed an issue in which the calendar popup window for date-time custom fields might not show the correct AM/PM value. (Build 433)
  • Time Zone Issue With Date-Time And Time Custom Fields On Timesheets 

Fixed an issue in which date-time and time custom fields would be offset by a number of hours if the user entering the value was in a different timezone than the timesheet owner. (Build 442)
  • Leave Request Tab Now Honors "Rows Per Page" Preference 

The number of leave requests per page shown on the Leave Requests tab will now use the "Rows Per Page" search results setting on the Home > Preferences page. Previously a value of 20 was used, regardless of the preference setting. (Build 444)
  • Flex Time Rules Now Honors Balance Maximum 

The Flex Time balance can have a maximum value specified on the Balance and Accruals rules page (System > Policies > Balance and Accruals Rules). The Flex Time rules (System > Policies > Flex Time Rules) now checks this maximum, and ensures the value doesn't exceed this maximum when adding hours to the Flex Time balance. (Build 447)
  • Cloning Policy Issue 

When cloning a policy (System > Policies page) that has balance accruals enabled, the list of accrual rates will now be properly copied, too. Previous versions did not copy the accrual rates. (Build 449)

New in Pacific Timesheet 6.77 (Dec 16, 2010)

  • New Features and Enhancements:
  • ZK Software Time Clocks Now Supported - This release now supports ZK Software (http://www.zk-usa.com/) time clocks. You can learn more by going to the System > Devices page and clicking the online Help link, or contacting your Pacific Timesheet sales representative.
  • Multiple Timesheet Printing - There is a new 'Print Timesheets' menu option on the Timesheets and Approvals tabs (below the Export and Import menu items) that allows you to download a PDF hard copy of all of the timesheets in the list. This is useful if you need to print out multiple timesheets for signing, for instance. Note that, rather than printing the entire list, you can print selected timesheets by clicking the checkbox on each row before selecting the 'Print Timesheets' option.
  • New Leave Request Rule - There is a new leave request rule that allows you prevent employees from submitting leave requests that would bring their balance below the minimum allowed. The "Don't allow submitting of Leave requests if balance falls below minimum" rule can be enabled on the System > Policy > Schedule Rule page. You can learn more about this by clicking the online help link once on that page.
Even if you don't turn this rule on, a more readily visible message will be shown above the leave request indicating the balance has gone negative. This will help minimize the submission and approval of leave requests that violate any minimum balance rules.
  • Leave Requests Export - There is a new option on the Leave Requests tab that allows you to export the list of leave requests. This is accessed by clicking the popup menu button in the upper-right corner of the list of requests.
  • Leave Request Approval Default Start Date - By default, when you go to the Leave Requests tab to approve requests the default start date looks back 30 days. Administrators can now modify the default value by selecting the new Options item on the tools menu in the upper-right corner of the list of leave requests.
  • Listing Leave Request With Status 'Pending Approval' No Longer Returns Rejected Requests - Rejected leave requests are no longer listed on the Leave Requests tab when the status is set to 'Pending Approval'. To see rejected requests you need to set the status to 'Rejected'.
  • Year To Date, Quarter To Date Reporting Periods - Date range menus for reports, timesheets, etc. now have "Quarter To Date" and "Year To Date" options.
  • Support For Additional Data Types In SQL Expression Report Columns - Custom report fields created using SQL expressions now support text, timestamp, integer and decimal data types. Previously only SQL expressions that returned integer or decimal values were supported. You can also control the formatting of the data, such as whether only the date or time is shown, or the number of digits after the decimal point.
  • Support For Custom SQL "Group By" And "Having" Report Expressions - There is an options dialog available when editing summary reports that allows you to modify the default "Group By" SQL expression. Modifying the "Group By" expression is sometimes necessary after adding a custom SQL fields that refers to a database columns that is not in the default "Group By" expression. You can also specify a "Having" SQL expression to limit which rows of data are returned.
  • Support For SQL Expressions In Report Sort Columns - As you can for report columns, you can now create sort columns that are SQL expressions. This is useful if you have created custom report columns and you would like to have the report sorting based on the data in that custom column.
  • Timesheet Lookup Can Now Filter On Notes - A new advanced search property allows you to filter the list of timesheets on the Timesheets and Approvals tabs based on text in the timesheet or time entry notes fields.
  • Partial Day Leave (Time Off) Requests Default To Half Day - Instead of defaulting to 2 hours starting at 10AM, partial day leave or time off requests default to a half day (based on the scheduled hours per day) starting at the employee's scheduled start time.
  • Employees Tab Advanced Search (Build 410) - The Employees tab now has new advanced search capabilities, including the ability to filter the employee list by permission level, employee type, policy and reporting group.
  • Fixes:
  • Timesheet Memory Issue - If an employee's timesheet allowed them to select their reporting group, the value would not be remembered when rows or hours were carried forward to the next time period. Instead, each row would have the reporting group reset to the employee's current reporting group. This release makes sure that the reporting group carried forward from the previous timesheet is not changed.
  • Rejected Leave Requests Now Ignored When Checking For Conflicts - When a leave request is submitted, the employee will see a warning message if it overlaps with a previously submitted request of theirs. Rejected leave requests are now ignored when making this conflict check.
  • More Clear Error Messages When Importing Employee Balances - When importing employee balances (Vacation, Sick, etc.) a more clear message will be shown if an employee or balance with a given name or ID is not found. In previous versions you could get an uninformative "null" error message.
  • Issue When Exporting Employee Balances In XLS Format - In some previous versions, exporting employee balances in XLS format would result in an error. This is corrected in this release. Note that you can choose whether to export in CSV or XLS from the Home > Preferences page.
  • Automatic Missed Meal Premium Issue - In some cases when working over midnight you could get a missed meal premium when you shouldn't. For instance, if you worked two blocks of time, from 10PM to 12:30AM, then from 1AM to 7:30AM, the rule could incorrectly determine that you missed a meal in the second block of time. This is fixed in this release.
  • Importing Timesheet Data With Missing Employee Login or ID - Importing timesheet data with no employee login or ID specified should result in the record being rejected. Instead, the record was read and a time entry created for a blank employee. This is now fixed: records with no employee information or invalid employee information will be rejected.
  • Additional Check Before Deleting Timesheet Template Custom Fields - If you try to delete a timesheet template custom field (from the System > Templates > Manage Custom Fields page), a check is now made to ensure it is not in use by one or more timesheet templates. If so, the delete will fail with a clear error message indicating which templates are using the custom field. You will need to remove the custom field from each template (active or inactive) before being able to delete the custom field.
  • Fixed Issue In Which Paging Through Timesheet Lists Returned Partial Web Page (Build 411) - In some cases paging through lists of timesheets on the Timesheets and Approvals tabs could result in an incomplete web page being generated. This was due to a cached value expiring, resulting in an internal error that caused the web page to be only partially generated. This has been fixed in this release.
  • Timesheet PDF Totals Issue (Build 412) - The printable timesheet view, which generates a PDF version of the timesheet, could sometimes format the summary totals incorrectly, causing labels not to line up with values. This would generally only happen if you had long names for fields such, such as 'Double Time Hours', instead of simply 'Double Time'.
  • Maximum Hours Rule Now Checked When Automatically Adding Leave To Timesheets (Build 415) - The logic that pushes leave requests and holidays onto timesheets will now check the Time Entry Rules for the maximum number of hours for each type of leave. This means that you can configure, for instance, employees with 9 hours per day of scheduled work, but have only 8 hours of holiday placed on the timesheet.

New in Pacific Timesheet 6.74 (May 17, 2010)

  • New Features and Enhancements:
  • New Leave Reports - Two new leave reports have been added to make it easier to report on employee leave or time off. The "Employee Leave" report shows total leave hours for each employee, broken down by pay code. The "Employee Leave Details" report lists the individual leave entries from employee timesheets.
  • FTP Support For Timesheet Scheduled Export - In addition to scheduling timesheet data to be exported to a directory on the computer, you can now export to a directory on an FTP (File Transfer Protocol) server. Please go to the System > General > Data Integration page and refer to the online help for details on how to configure the FTP server settings.
  • Match Field Value On Import Page Now Memorized - When importing employees, groups, tasks, etc., you can specify the match field for the import file (for example the employee login name, ID or email). Rather than defaulting to the first item in the list of match fields, this version will recall the last value selected, reducing the chance of error when importing data by choosing the wrong match field.
  • Fixes:
  • Auto-Import Directory - More Clear Errors Messages - When configuring the auto-import directory on the System > Data Integration > Auto-Import Directory page, a more clear error message will be shown if the directory doesn't have write permissions. In addition, a log message will be generated if the import file cannot be deleted or renamed after being processed (currently this fails silently).
  • Request New Password - More Clear Errors Message If Email Server Not Configured - In order to request a new password, the outgoing email server settings must be configured on the System > General page. This version will output a clear error message if a user requests a new password and the email server settings are not configured, instead of failing silently as it did in previous releases.
  • Timesheet Import Fixes - Fields ending in ".ID", e.g. "Employee.ID", were ignored in timesheet import files. This release correctly supports these fields.

  • Automatic Meal Deduction Issue - If a user inadvertently entered a large number of hours for a time entry, the automatic meal deduction rule (on the System > Policies page) would process it regardless of the maximum hours per day timesheet rule setting. This would result in many future time entries being created, especially if the user entered a large value, such as 800 hours. This release checks the maximum hours per day rule, and will also stop processing once the next timesheet period is reached.

New in Pacific Timesheet 6.73 (Apr 19, 2010)

  • New Employee Property: Scheduled Work Days:
  • A new employee property, "scheduled work days", allows you to specify which days of the week are considered work days. By default the value is Monday through Friday, but you might have employees whose work schedule is Tuesday through Saturday or some other set of days. This setting affects several areas of the system:
  • When an approved leave request has its hours added to a timesheet, previously Saturday and Sunday were skipped. This version will check the "scheduled work days" property configuration to skip the appropriate non-work days.
  • The "minimum hours per work day" time entry rule (on the System > Policies > Time Entry Rules page) previously only considered Monday through Friday to be work days. This version will check the "scheduled work days" property configuration to determine which days are considered work days.
  • Email Notice Enhancements:
  • This release of Pacific Timesheet will allow you to configure the port number for your outgoing (SMTP) mail server on the System > General page. This is needed if your mail server is not using the standard SMTP port, 25.
  • "Timesheet Approval Due" and "Timesheet Approval Late" notices, which are sent to an employee's primary approver, now have an option to CC the employee's backup approver. This will notify the backup approver that they may want to step in and approve the timesheets, in case the primary approver is unavailable.
  • The "Request Approval Due" notice has been renamed to "Request Submitted", and two new notices have been added: "Request Approval Due" and "Request Approval Late". The "Request Submitted" notice behaves as before: it will be emailed to an employee's primary approver(s) when they submit a leave request. The "Request Approval Due" and "Request Approval Late" notices will be emailed to an employee's primary approver(s) if the request has sat for too long without being approved. You can optionally configure these notices to CC the employee's backup approver, in case the primary approver is unavailable.
  • Fixes:
  • Reporting Group (Cost Center) Issue - The current value of the reporting group (or cost center) in an employee's profile is stored with each time entry an employee records. In this way, if an employee changes reporting groups their new timesheets will show the new reporting group, but their old timesheets will retain the old reporting group value. Editing a time entry results in the current value being pulled from the employee's profile, making sure the edited time entry has the current reporting group value. However, a bug caused this check to be omitted when using the Day View time entry mode. In addition, when a new timesheet was created using timesheet memory set to "Rows and Hours", the old reporting group value would be carried forward. The same thing would happen if the employee used the 'Copy Previous Timesheet' feature. This release fixes these issues, making sure that the current reporting group value is used whenever editing a time entry, as well as when using the 'timesheet memory' or 'copy previous' functionality.
  • External Database Server Restart Issue - When using an external database, such as Microsoft SQL Server, you could get a "null pointer exception" error when loading a timesheet if the database server was not running when the Pacific Timesheet service started up. In order to fix the issue you had to make sure the external database was running, then restart the Pacific Timesheet service. This release is more tolerant of the external database being unavailable during the time that the Pacific Timesheet service is starting. Once the external database is available Pacific Timesheet should automatically connect and operate without error.
  • Missed Meal Penalty Issue - This issue affects those using the missed meal premium rule (see the System > Policies > Wage Rules page). When computing whether an employee missed a meal, the rule was inadvertently including any leave they may have taken that day. This could result in a missed meal premium being granted when it shouldn't. This release ignores any leave time entries when checking for missed meals.
  • Export File Fields Now Locked - Previously, if you modified the list of pay codes on the System > Pay Codes page it had the side effect of changing the list of the pay code fields in the timesheet export. For instance, if you moved the Sick pay code to the end of the list, it would show up as the last pay code field in the export file. This unintended side effect could break your pay roll integration if it depends on certain fields being in certain locations. Starting with this release of Pacific Timesheet, whenever you edit your timesheet export the list of fields will remain exactly as shown, even if the list of pay codes is later modified. If you are integrating with external systems (for example, using TimeBank to integrate with your payroll system), it is recommended that you do the following:
  • Go to the System > General > Data Integration page.
  • Click the link for each enabled timesheet export.
  • Click Edit then click OK. This will lock the fields.
  • 9/80 Overtime Rules Issue - The 9/80 Overtime Rules could, in some cases, not compute the total number of regular hours if no time entries were entered for a week. This release makes sure that the overtime rules process correctly even if no time entries were recorded on the timesheet.
  • Reduced Memory Usage When Listing/Exporting Timesheets - Unneeded timesheet data was being kept in memory when listing or exporting timesheets. If you were exporting large numbers of timesheets (over 500) this could result in excessive memory consumption. This release no longer keeps unneeded timesheet data in memory after listing or exporting these large lists.
  • Punch In/Out On Home Page Issue - In certain rare cases clicking the Punch In or Punch Out link on the Home tab would result in no action being taken. This is fixed in this release.

New in Pacific Timesheet 6.69 (Nov 18, 2009)

  • New Features and Enhancements:
  • Custom Report Templates Now Stored in Database - Report templates are generated when you create a custom report. Previously these were stored on disk, which made backing up your system a two-part affair: you needed to back up both the database and the report templates. Now report templates are saved in the database, so only the database needs to be backed up. This also makes it easier to move Pacific Timesheet to a new computer, as only the database needs to be retained. Note that report templates are text/xml files and do not take up appreciable database storage unless you have many hundreds of custom reports.
  • Bill Rates, Pay Rates Now Can Be Imported/Exported - If your bill or pay rates depend primarily on the employee, you can now import/export them from the menu above the employee list on the Employees tab. Both the default rates as well as the exception rates are imported/exported.
  • Fixes:
  • More Reliable Database Connections After Database Server Restart - In some cases Pacific Timesheet would hold onto database connections that should have expired after the database server was restarted. This would result in odd errors, which would require restarting the Pacific Timesheet service to correct the problem. A new tag in timesheet-config.xml has been added to test and expire such stale database connections more reliably. If you are experiencing this issue you can set the property to true, e.g. true. timesheet-config.xml is in the /tomcat/webapps/timesheet/WEB-INF directory, and any changes to this file require the Pacific Timesheet service be restarted for the change to take effect.
  • Employee Search: Spaces in Name Issue - When searching for employees with spaces in the name, for example a last name of "De Mott", previous versions would return no matches. This issue is fixed in this release.
  • Custom Time Periods Issue - Fixed an issue in which custom time periods could have a single date defined, rather than the minimum two time periods needed to create a time period.
  • Leave Requests Now Account For Holidays When Adding Hours to Timesheets - Suppose an employee made a leave request, for example Vacation, that spanned one or more company holidays. In previous releases, when the request was approved the entire vacation was pushed onto the timesheet without taking into account any holidays. This release will correctly account for any holidays first, adding vacation hours only for non-holiday days.
  • Annual Accrual Issue With Employees in Different Time Zones - An issue was fixed in which the wrong number of years an employee was employed was used when computing annual accruals. This only affected employees in time zones earlier than the default time zone (for example, if the default time zone is Eastern, then employees in the Pacific time zone would be affected). If you are using annual accruals, have employees in more than one time zone, and have set up accrual rates based on the number of years employed, then you should update to this release.

New in Pacific Timesheet 6.62 (Mar 31, 2009)

  • Partial Day Leave Requests - Partial day leave requests are now supported. When requesting leave you can check a box indicating whether the request is for a partial day, then enter the starting and ending time for the time off.
  • Project Dashboard Enhancements - Project and task work (planned and actual) can now be displayed as either days or hours. You can specify which units to use from the System > General > Project Options page. In addition, after editing the planned work for project tasks, the total planned work for the project will be automatically updated to reflect the new total.

New in Pacific Timesheet 6.51 (Feb 26, 2009)

  • Import Changes:
  • When importing employees the approver fields can be specified via employee full name ("First Last" or "Last, First"), in addition to the usual login name or employee ID.
  • This is also true when importing groups - the list of employees assigned to a group can be specified via the employee full name, as well as the login name or employee ID.
  • New Group Filter for Holidays:
  • You can now optionally limit holidays to specific employee groups. This is in addition to the optional locale filter that existed in previous versions.
  • Employee Scheduled Start Time Now Used by Timesheet:
  • In previous versions, adding a new row to an attendance timesheet would have the start time default to 9:00AM.
  • It will now use the employee's scheduled start time (as specified in the employee profile) if set.

New in Pacific Timesheet 6.49 (Feb 21, 2009)

  • New Features and Enhancements:
  • New Timesheet Permissions - Two new timesheet permissions were added. The "Can punch from time clock device only" can be used to disallow employees from punching in/out from a web browser. The "Can copy previous timesheet hours" can be used to disallow employees from copying previous timesheet hours. You can learn more by viewing the "Permission Levels" online help topic.
  • Fractional Year Support for Accruals - You can now specify fraction years when setting up accruals that vary depending upon the number of years employed. This is especially useful if doing annual accruals because you can enter fractional years employed, e.g. "0.5", to prorate the first accrual for new employees. You can learn more by viewing the "Balance and Accrual Rules" online help topic.
  • Smarter Timesheet Copying - When you copy the hours from a previous timesheet (either by using the "Copy Previous Timesheet" function on the timesheet, or you have timesheet memory set to carry forward hours in your Preferences on the Home tab), leave hours (or paid time off) will no longer be copied. Also, where possible, leave hours will be converted to appropriate work hours.
  • Approval Status Information Now Shown in Timesheet PDF - The timesheet PDF view now shows the approval status and name of the approver, for approved timesheets.
  • Fixes - Accruals:
  • Fixed an issue in which annual accruals would run before any annual rollover cap was applied. This resulted in a reduction or elimination of the annual accrual. Annual accruals will now run after the annual rollover cap is applied.

New in Pacific Timesheet 6.45 (Jan 5, 2009)

  • New Features and Enhancements:
  • New Overtime Rule: 9/80 Compressed Overtime - Pacific Timesheet now supports overtime calculations for 9/80 compressed work weeks. For more information go to the System > Policies page and click the Help link.
  • Employee Filter for Audit and Login Reports - The Audit and Login reports now allow you to filter the records returned to selected employees.
  • Fixes:
  • Overtime Rule - Fixed an issue in which the overtime rule would sometimes not run until the timesheet was submitted.

New in Pacific Timesheet 6.43 (Oct 13, 2008)

  • New Time Entry Rule: Automatic Meal Deduction - You can configure your employee policies to automatically deduct a specified number of minutes for meals. This is configured from the System > Policies > Time Entry Rules page. The online help topic for that page describes the feature in detail.
  • Employee Balance Activity Reports - Two new reports were added to show summary and detail information on balance changes: Employee Balance Activity and Employee Balance Details.
  • New Time Entry Option: Absence/Presence - In addition to Normal and Percent time entry, there is a new timesheet template advanced option: Absence/Presence time entry. With this option employees merely check which projects or pay codes they are working on, rather than entering hours. This is configured from the System > Templates page. The online help topic for that page describes the feature in detail.
  • Change to "Can Edit Own Punches" Permission - If the "Can Edit Own Punches" permission is not checked, then employees will no longer be able to delete their timesheet, nor any work rows that have non-zero hours.
  • Print Report Issue - Fixed an issue in which clicking the Print button on the report page would not print the entire page in Internet Explorer.
  • Date Field Issue - Fixed an issue in which dates prior to 1970 could not be entered in Data and Date-Time custom fields.
