- This allows me to reduce some complexity within the codebase and remove unnecessary clutter and terminology from the user interface.
- Renamed “Receive Money” and “Spend Money” buttons:
- You will also notice, button Receive Money has been renamed to New Receipt and Spend Money button has been renamed to New Payment. This is to make the button labelling consistent with the rest of the system where I never use verbs to name buttons. The button labels are always in the format New something.
- For example, when you go to Journal Entries tab, the button is called New Journal Entry. When you are in Receipts & Payments, the buttons are now New Receipt and New Payment.
- This is a bit of a dangerous change because everybody knows the difference between Receive Money and Spend Money but the difference between New Receipt and New Payment is less clear. In fact, I expect a lot of people making a mistake by recording income from customers as New Payment and expenses as New Receipt. That’s because when you pay a supplier, you might receive a receipt which might nudge you to click New Receipt button instead of New Payment. And that’s OK.
- That’s because now it’s possible to easily switch transactions between receipts and payments.
- So even if a mistake is made, there is no need to delete the original receipt and re-enter it as a payment. Simply edit the receipt or payment and change the type. This is why clicking on the wrong button within Receipts & Payments tab is no longer a big deal. The mistake is very easy to fix.
- Automatic reference numbers are now optional:
- When merging Bank Transactions and Cash Transactions into a single tab, a new problem has arisen on how to reconcile automatic reference numbers under Cash Transactions tab with manual referencing under Bank Transactions.
- In the end, I’ve decided to make automatic reference numbers optional. In other words, if you don’t need sequential reference numbers for your receipts and payments, leave the reference box empty.
- And if you need them automatically generated, tick the checkbox.
- By default, the checkbox will be unchecked so if you decide to use automatic reference numbers, it is a good idea to check the box under Form Defaults so the box is automatically checked when creating a new receipt or payment.
- I think I will be rolling this mechanism across all tabs. A lot of people find reference numbers unnecessary so this way everyone can decide whether to use them or not.
- Conversions between cash accounts and bank accounts can now be done without loss of information.
- The issue with the previous version was that it wasn’t possible to convert between bank accounts and cash accounts without potential information loss.
- When bank accounts are converted into cash accounts, the status of any pending deposits and withdrawals will be lost, because cash transactions are assumed to clear immediately. An account itself can be reconverted, but pending status will not be restored. Also, custom fields from the converted account will not carry over, because custom fields are unique to a form type.
- This no longer applies to the latest version. Custom fields will be retained and the pending status will be preserved (in case you decide to “reconvert” back to a bank account).
- “Cash Summary” report was renamed to “Receipts & Payments Summary”:
- In previous versions, Cash Summary was a report summarizing all transactions under Bank Transactions and Cash Transactions tabs. It wasn’t completely obvious due to the terminology used.
- I think the new approach is more straightforward.
- Receipts & Payments Summary report summarizes all receipts & payments under the Receipts & Payments tab. This is much more obvious.

- In previous versions, when you issued an invoice (or received an invoice from supplier) which was eventually paid in full or partially, Manager would show on invoice mysterious total named Amount credited just before Balance due.
- It was even worse when you have entered invoice for customer if their account was in credit. The credit would be automatically applied to new invoice shown under Amount credited total.
- Amount credited was simply total of all transactions associated with the invoice but I came to realize it was too disconnected from what one would expect. Not to mention often Amount credited would represent single transaction (typically the payment for invoice).
- The latest version no longer shows Amount credited and instead of it it simply enumerates list of transactions associated with the invoice so it’s easier to see how did Manager come up with Balance due figure (if it’s different from invoice total).

Early payment discount kicks in when invoice is paid before due date but it could be further improved to allow early payment discount to be applicable only if invoice is paid within a few days (e.g. 7 days) from invoice issue date rather than waiting for a day before due date (e.g. 30 days later).

- You can then view the budget which will show comparison between actual and budget figures.
- This is pretty basic but functional. I'm interested to hear how to evolve this feature to fulfill needs in real-world scenarios.
- Going back to Application Data folder
- A few weeks ago, some changes have been made to desktop edition which made Application Data folder obsolete.
- This was part of larger changes I was planning to introduce in server & cloud editions. These changes are not going to go ahead and therefore I'm forced to put application data folder back into desktop edition for the sake of consistency.
- What it means is that *.manager files will need to reside in dedicated folder (which you can move). Basically, exactly how it worked before.

- Supports custom subsidiary ledgers. A subsidiary ledger is a group of similar accounts whose combined balances equal the balance of a specific balance sheet account.
- An example of a subsidiary ledger is "accounts receivable" where the balances of all customers accounts equal the balance of the Accounts receivable account on the balance sheet. Or inventory, where the total value of all inventory items on hand equals the balance of the Inventory on hand account.
- Some businesses may require special accounts because the in-built subsidiary ledgers are not suitable. For example, a real estate agent may require a custom subsidiary ledger to manage trust accounts in a landlord's ledger.
- To create a custom subsidiary ledger, enable the tab Special Accounts.
- Within this tab, you can create all subsidiary accounts. For example, a real estate agent will create a new account for each property they manage.
- You will notice, all special accounts will be automatically assigned to the Special Accounts control account. Usually it's preferable to create a new control account on the balance sheet and assign these special accounts to that control account. In this case, a real-estate agent could create a liability account named Trust funds payable.
- You can have multiple control accounts which are made up of special accounts. This is useful if you require multiple custom subsidiary ledgers.
- Special accounts can be then used for most transactions as if they are regular accounts. For example, if a real-estate agent receives rent from a tenant, it would be recorded under Cash Accounts tab as a Receive money transaction.
- You don't have to be real-estate agent to take advantage of custom subsidiary ledgers. If you have many loan accounts, instead of showing them individually on a balance sheet, you can create all loan accounts within its own subsidiary ledger. This will ensure your balance sheet is concise enough to be easily analyzed.
- You can also use custom subsidiary ledgers to track store credits given to customers (e.g. gift cards or customer loyalty programs). For example, if a customer buys an item for $500 and uses their store credit, you can easily see the store credit each customer has on account, then apply it to their receipt so they only pay the difference.
